Conferma pulls plug on fax for hotel payments as APAC rollout begins

Virtual card specialist Conferma has officially started phasing out fax-based hotel payment delivery across Asia Pacific, switching off the legacy channel in Australia and New Zealand from 20 April.

The move, part of the company’s broader ‘Ditch the Fax’ initiative launched in 2025, means hotels across ANZ will no longer receive faxed virtual card details – regardless of where the booking originates or which travel management company is involved.

The ANZ shutdown marks the first step in a wider regional rollout, with additional APAC markets set to follow in early May. It also signals progress towards Conferma’s goal of eliminating fax-based payment delivery globally by the end of 2026.

As a category leader in virtual card payments, Conferma said the shift reflects growing industry demand for secure, scalable and automated payment solutions.

“Asia Pacific has already moved beyond fax,” said Conferma chief product officer Stuart Davenport. “This change removes the final dependency on an outdated channel, and sets a consistent, digital-first standard for how virtual payments are delivered.”

Hotels previously reliant on fax will be automatically transitioned to encrypted email as a default, while the company continues to promote its API-based Connect Direct integration. The platform enables virtual card details to be delivered directly into hotel property management systems, reducing manual handling and improving reliability.

The shift comes as virtual cards become increasingly central to corporate travel programmes, with buyers expecting seamless, accurate and timely payment delivery at check-in.

Fax failures have historically created friction across the ecosystem, often requiring follow-up from travel management companies and hotel staff. Conferma said digital delivery removes these pain points, streamlining operations and reducing administrative burden.

Ahead of the broader APAC rollout, hotels are being urged to ensure secure digital delivery methods are in place, with API integration positioned as the most effective long-term solution for high-volume environments.
