NSW government puts travel management services out to tender

While the COVID-19 wildfires continue to burn bright across NSW, that hasn’t stopped the state government from seeking a travel management partner.

Last week, a tender request for an organisation to supply travel management services for the whole of NSW government (NSWG) appeared on the eTendering website.

According to the tender document containing the all-important conditions and requirements, the contract is initially for a three-year term, with the possibility of a couple of two-year extensions.

Specifically, the NSWG is looking for an organisation that can provide a “quality, cost-effective and fully comprehensive travel management service including, but not limited to, policy enforcement, car hire, accommodation, rail, coach, ferry, group bookings, meeting, and events”.

In addition, the successful organisation will be responsible for the booking and ticketing of all domestic, trans-Tasman and international travel, as well as ensuring that all NSWG clusters and agencies have tailored servicing and account management.

Other requirements include the provision of “robust, up-to-date and appropriate leading technology solutions” and the ability to “optimise savings through cost reduction strategies, improved services, efficiencies, and processes”.

The successful organisation will also need to ensure integration (either by API or other means) with third-party suppliers as required by the NSWG and internal systems.

Furthermore, the chosen organisation will be called upon for consolidated and agency-specific data reporting, as well as consolidated carbon emission reporting, and is expected to encourage “sound” environmental practices.

The tender document says the travel management company (TMC) must demonstrate their ability in managing “large, complex corporate and/or government accounts to work with NSWG to jointly explore future opportunities in identifying process and efficiency improvements”.

The TMC must also demonstrate their ability to meet the requirements for “large amounts of bookings for ongoing large project-related needs, emergency and crisis management and crew related accommodation requirements”.

Those interested in throwing their hat in the ring will need to do so by 11:45pm (AEST) on 9 September.
